The more detail you provide, the more accurate and useful your quote will be. There is no commitment at this stage.
GO TO TRIP BRIEF GENERATOR →Within 4 business hours, we send a written quote that includes: the total journey cost (no add-ons), the vehicle category assigned, the name of your allocated escort, and an estimated journey duration with planned rest stops if applicable.
If we have questions before quoting — for example, if the route requires clarification or specific vehicle allocation — we will call or email you first. Quotes are valid for 14 days.
Reply to the quote email to confirm, or call us directly. We will issue a booking confirmation document with a reference number, the agreed price, and a summary of all journey details. Payment arrangements are confirmed at this stage.
Two days before departure, we send the family contact a pre-trip checklist tailored to the journey type. For airport transfers this covers document readiness, medication carry-on rules, and check-in timing. For medical journeys it covers appointment paperwork and relevant equipment. For cross-border trips it includes customs declaration guidance.
On the day of travel, the family contact receives a message confirming the escort's name, vehicle registration, and exact arrival time. The escort calls the passenger 30 minutes before arrival to confirm they are ready.
The escort arrives 15 minutes before the agreed pickup time. The family contact receives messages at departure, during the journey if it exceeds 3 hours, and at confirmed arrival. The escort does not leave until the passenger is safely received by the person or facility at the destination.
We require at least 24 hours notice for all bookings. Same-day requests cannot be guaranteed and are subject to availability.
Three days gives us time to assign the most suitable escort, confirm the vehicle, and send a full pre-trip information pack.
Cross-border journeys, multi-day routes, and trips requiring specialised vehicle configuration benefit from a week or more of preparation time.
